Job Description

The medical assistant plays an important role in the nursing department assisting clients in the medical clinic. Working with a diverse population at multiple locations, the medical assistant will work closely with RN’s to provide services to clients in need. The medical assistant is a part of the communication between a client/vendor, a therapist, and a doctor, whether it’s on the phone or in person. They may answer questions or provide general information, or may direct a client to a person who can provide more direct and specific information. They are responsible for keeping, updating, and maintaining records by getting the appropriate information from the program participants, vendors, therapists, and psychiatrists. It is important to be keenly aware of all services provided within the clinic and throughout the agency.

Responsibilities
  1. Engages in and develops trusting relationships with all staff, vendors, or clients to enhance employee employment satisfaction.
  2. Abides by company rules and policy/procedure as well as helping with mission, vision and values of SPSI.
  3. Attend all mandatory staff meetings, facility in-services and staff development activities as scheduled.
  4. Accurately record relevant client/vendor contacts and messages as well as communicates it with the staff it affects.
  5. Assists employees with support so that it affects our clients in a positive way.
  6. Performs administrative and recordkeeping tasks related to the nursing department including filing, organizing, copying, and other tasks.
  7. Works efficiently and effectively using EMR systems required such as Phoenix, Smart Care, Sentri.
  8. Immediately report critical issues and work with appropriate staff to develop an intervention plan.
  9. Maintains the integrity and confidentiality of clients and employees record information as well as maintain SPSI’s code of ethics.
  10. Provides services as needed to include, AIMS screening, vital signs, weight/ BMI, routine lab draws (A1C, Cholesterol) updating allergies and pharmacy within the EHR, Complete medication reconciliation for all people seen by the prescriber.
  11. Completes all required documentation according to agency policy and procedures.
  12. Answers phone calls as they come into the nursing line and triages appropriately.
  13. Assists with the secure storage of individual injectable medications and appropriate disposal of medical waste in accordance with agency procedures.
  14. Assists the RN in maintaining the sample medication inventory.
  15. Assists the RN in coordinating lab requests and results with the prescribers.
  16. Assists with coordinating the clean-up of minor body fluid or hazardous waste spills as appropriate.
  17. Work to continually improve skills seeking training in areas where needs have been identified.
  18. Other duties as assigned.

MARGINAL JOB DUTIES

  1. Works collaboratively to train all new staff as assigned based on the need of the department as needed.
  2. Assists the operations department with front desk coverage and/or tasks as needed.
  3. Completes routine medication refills as appropriate.
  4. Completes prior authorizations for medications as needed.
Requirements
    • Must be able to lift up to 50 lbs.
    • Reliable transportation is required. Local travel throughout service area is required with possible occasional travel between SPSI locations. Some out of service area travel may also be required. Reimbursement in accordance with SPSI policy.

  7. Fluent/ basic knowledge in the use of Microsoft Word, Excel, and other applications.
  8. Maintains a high degree of discretion when dealing with confidential information.
  9. Knowledge of general office machines, telephone systems, fax machine, PDF operations, and other information systems.

  1. Must possess effective communication skills and act as a representative of SPSI and adhering to its mission, vision, and values. This includes external representation of local agencies.
  2. Speak to clients in a respectful and calming manner, even if clients are agitated. Identify and resolve client conflicts/dissatisfaction issues as needed.
  3. Continually strives for effective relationships with staff and management.
  4. Expect self and co-workers to maintain the highest standards of professional ethics.
  5. Work as a team member to improve the various services offered by the agency, sharing information about cutting edge practices or identifying gaps and needs in service.
Experience
  • A minimum of one to three years’ experience in a mental health/substance use setting preferred.
Education
  • Associate degree or bachelor degree in the related field preferred.
License and/or Certificate
    • Valid driver’s license.
    • Certified medical assistant (CMA) or registered medical assistant (RMA) certification is required.
